Katleri Shogen Club - Membership Rules (for information)

1.1. These Rules regulate the relationship between the sports club “Katleri Shogen Club” (hereinafter – the Club) and the club member (hereinafter – the Member).

1.2. Membership is voluntary and based on the Club’s Articles of Association, these Rules (for information), and the Agreement (a legally binding document).

1.3. To join the Club, it is necessary to complete the electronic application form in Sportlyzer.

1.4. By signing the Agreement, the Member confirms that he/she has read the text of these Rules published on the Club’s website and undertakes to comply with them.

1.5. For persons under 18 years of age, the signature of a legal representative is required.

  • Provide opportunities to participate in training sessions and sports events, as well as in the national team if requirements are met;
  • Ensure safe training conditions within reason and provide safety instructions;
  • Promote athletic development and a healthy lifestyle;
  • Support athletes from socially disadvantaged families and children with special needs where possible;
  • Instill values of patriotism and respect for sports traditions;
  • Teach general high moral human values;
  • Provide opportunities to participate in the club’s ranking system;
  • Organize the annual club event “Top Ten Shogen Club League”;
  • Amend the training schedule, cancel training sessions, and appoint assistant coaches, with prior notice to Members.

Rights:

  • Attend the Club’s training sessions and events;
  • Apply for the status of “Athlete,” “National Team Candidate,” or “National Team Member”;
  • Receive advice and support from coaches;
  • Participate in competitions and training camps if Club requirements are met;
  • Submit suggestions for the development of the Club’s activities.

Obligations:

  • Comply with the Articles of Association and internal rules;
  • Refrain from actions that may damage the Club’s honor and reputation, including knowingly false or offensive publications;
  • Respect coaches, other members, and sports traditions;
  • Take care of the Club’s property and facilities;
  • Pay membership fees and other payments on time (see Agreement). Non-payment does not release the Member from the obligation to pay;
  • Follow coaches’ recommendations regarding safety and training;
  • Inform the coach about participation in other sports clubs;
  • Notify in writing (by e-mail or paper) in case of resignation from the Club.
  • 4.1. The amount of the entrance and/or monthly fee is defined in the Agreement.
  • 4.2. The Member acknowledges and agrees that the membership fee is an obligation arising from the moment the Agreement is signed and must be paid regardless of actual attendance at training sessions.
  • 4.3. In case of arrears in membership fees, the Club has the right to temporarily restrict the Member’s right to attend training sessions and events until full payment of the debt and related sanctions (fines, suspension, exclusion from exams or competitions), within the limits set by the Agreement.
  • 4.4. If membership fees change, the Club will notify Members at least 30 calendar days in advance.
  • 4.5. The monthly fee is payable by the 10th of each month (from September to June).
  • 4.6. No fees are charged in July and August.
  • 4.7. Penalties and sanctions apply for late payments. The procedure is defined in the Agreement.
  • 4.8. Non-payment does not release the Member from the obligation to pay the debt, even in case of resignation from the Club, and the Club has the right to demand payment, including fines and court costs.
  • 4.9. Discounts for large families and socially disadvantaged families are described in the Agreement.
  • 4.10. Additional training sessions and individual lessons are paid separately (see Agreement).
  • 5.1. By joining the Club through the Agreement, the Member agrees to comply with the Club rules.
  • 5.2. The Club is not responsible for injuries or damages during training sessions and organized events if caused by non-compliance with the coach’s instructions, safety rules, or independent actions outside the training process.
  • 5.3. The Member is liable for damages to Club property or facilities in full.
  • 5.4. The Club is not a medical institution and is not responsible for hidden or chronic illnesses not indicated in the medical certificate provided by the Member or their legal representative.
  • 5.5. The Club is not responsible for the loss of personal belongings during training unless handed over for safekeeping to administration or designated persons.
  • 5.6. A Member may be excluded for systematic violations, non-payment of fees, or participation in other clubs without approval.
  • 5.7. Disciplinary measures are decided by the Club management.
  • 5.8. Disputes are resolved through negotiations or in court under Estonian law.
  • 6.1. Relations based on these Rules are effective from the date of signing the Agreement.
  • 6.2. Membership may be terminated at the initiative of the Member or by the Club (see disciplinary rules).
  • 6.3. Membership suspension is possible for up to 1 year by written request.
  • 6.4. Membership is personal and cannot be transferred to third parties.
  • 7.1. By signing the Agreement, the Member consents to the processing of personal data in accordance with Art. 6(1)(a), (b), and (f) GDPR.
  • 7.2. The Club processes personal data only for membership purposes, fee accounting, and providing data to local municipalities.
  • 7.3. Collecting information on a child’s health condition is necessary for organizing proper training, accommodation, and nutrition (camps, gatherings, competitions). Only medical certificates from a family doctor are required, which help coaches adapt training if the child has health problems.
  • 7.4. Data is not shared with third parties except where required by law or federation obligations.
  • 7.5. Personal data is processed only for the duration of membership and necessary time thereafter to fulfill legal obligations.
  • 7.6. Photos and videos taken within Club activities may be used for marketing, promoting Taekwondo, and advertising Member achievements.
  • 7.7. If the Member does not agree to the use of photo/video, he/she must notify the Club in writing.
  • 7.8. The Member may request correction, deletion, or restriction of data processing and withdraw consent for the use of photo/video (shogenclub@tkd.ee).
  • 7.9. All data is stored in accordance with GDPR and deleted after membership ends, except when retention is required by law (e.g., accounting records).
  • 7.10. The Member has the right to file a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) if he/she believes their rights are violated.
  • 8.1. The Club may amend the Rules, notifying the Member at least 30 days before changes take effect.
  • 8.2. The Rules are drawn up in accordance with Estonian law.
  • 8.3. All amendments are published on the Club’s website, in the closed Facebook group, and in the WhatsApp group “Breaking News.”
  • 8.4. Notification is deemed proper if published in at least one of the official Club communication channels.
  • 8.5. The Member undertakes to follow publications in official channels, including financial obligations. Lack of awareness does not release from responsibility.
  • 8.6. In case of conflict between the Rules and the Agreement, the Agreement prevails.
  • 8.7. All disputes are handled in Harju County Court (Harju Maakohus).
